Synergylive is an event management software platform designed to handle the intricacies of large-scale events. By centralizing planning, logistics, and collaboration, Synergylive empowers organizations to manage conferences, trade shows, and live experiences with greater efficiency and confidence.
The Challenge
Event management requires juggling countless modules—registration, vendor coordination, schedules, budgets, and more. Synergylive’s existing platform had grown bloated and inefficient, with interlinked modules that slowed down performance and frustrated users. Without intervention, the product risked losing clients to competitors.
The challenge was to rebuild the platform from the ground up while preserving its ability to manage complex, large-scale events. The system had to remain flexible enough to serve diverse clients while being streamlined for speed and usability.
Our Approach
In close collaboration with the SSW team, we began by mapping the full ecosystem of Synergy’s existing workflows. Through detailed user flow diagrams through a Digital Product Audit and extensive review of the legacy platform, we documented how staff completed 44 essential modules—from registration form creation and invoice tracking to hotel accommodations, reporting, and multi-event website management. We captured screenshots and step-by-step task flows from the original system to understand how users navigated each process, highlighting pain points, inefficiencies, and opportunities to streamline workflows across the platform. This foundational analysis gave us a clear blueprint for rebuilding Synergy Live as a more intuitive, reliable, and scalable solution.
Once the task flows were fully understood, we translated them into data structure diagrams to define the logic and interconnectivity required across Synergy Live’s databases. By mapping relationships between attendees, hotels, fees, forms, reports, scheduling, and project management, we established a backend architecture capable of handling complex, multi-linked data with consistency and clarity. One of the most intricate examples was financial management. In the legacy platform, financial reporting required manual compilation of revenue and expenses, creating unnecessary work and risk for error. We solved this by consolidating financial data into a central module that provides a real-time, scannable overview of event finances, with the ability to drill down into specific line items for deeper insight. This required meticulous mapping of all data relationships—for example, linking registrant fees to individual attendees, sponsor purchases to companies, and accommodation charges to both hotels and their assigned guests—to ensure total accuracy across interconnected databases.
Beyond the database logic, we also tackled the challenge of creating a comprehensive in-platform event management suite that served both administrators and attendees. This included tools for custom event styling, website creation, email design, and registration form setup, as well as admin controls for managing companion mobile apps and on-site check-in kiosks with Custom Web App Development. The kiosks allowed attendees to check in and print badges instantly, ensuring a seamless experience during live events. To validate every feature’s feasibility, our developers conducted proof-of-concept testing early in the process, helping define technical constraints and guide the design system. Ensuring smooth communication between modules and external touchpoints—mobile apps, event websites, badge printers, emails, and kiosks—was essential. This rigorous, iterative approach allowed us to stay agile and deliver a fully integrated platform that met SSW’s operational needs and elevated the entire event management experience.
